Privacy Policy

This Privacy Policy explains how Careific ("Careific," "we," "us," or "our") collects, uses, and protects information when you visit our website at careific.com, use the Careific application, use the Careific Employee Portal, or otherwise interact with our services (collectively, the "Services"). By using the Services, you agree to the practices described here.

If you connect a Google account to Careific, Section 4, Google user data, explains exactly how we handle information we receive from Google. That section takes priority over anything else in this policy for Google user data.

1. Information we collect

Information you provide

• Contact and interest information — such as your name, email address, facility or organization, and any message you submit through our interest or contact forms.
• Account and portal information — such as your name, work email, and role when your facility administrator provisions access to Careific or the Employee Portal.
• Mobile/phone information — your mobile telephone number and your consent preferences when you choose to enroll in text-message notifications.

Information from connected Google accounts

If you choose to connect a Gmail or Google Calendar account, we receive the Google user data described in Section 4. We receive it only after you sign in with Google and approve access on Google's consent screen.

Information collected automatically

• Device and usage information such as IP address, browser type, pages visited, and timestamps, collected through cookies and similar technologies to operate and improve the Services.

2. How we use information

• To provide, operate, secure, and improve the Services and the Employee Portal.
• To respond to inquiries and contact you about Careific, early access, and your requests.
• To send operational text-message notifications you have opted in to receive (see Section 6).
• To comply with legal obligations and enforce our Terms of Service.

Google user data is not used for any of the purposes in this section. It is used only as described in Section 4.

3. How we share information

We share personal information only as described below. Google user data is shared only as described in Section 4.

• Service providers — vendors who perform services on our behalf (such as hosting, analytics, customer support, and messaging delivery), bound by confidentiality and data-protection obligations and permitted to use the information only to provide those services to us.
• Legal and safety — when required by law, regulation, legal process, or to protect the rights, property, or safety of Careific, our users, or others.
• Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell your personal information, and we do not sell or rent your mobile telephone number.

4. Google user data

Connecting a Google account to Careific is optional. If you connect one, we access only the data needed for the Careific features you use, and we use it only to provide those features to you.

Data we access

• Gmail — email messages, including their content and attachments, metadata (sender, recipients, subject, and dates), and labels, so that your inbox appears in Careific Mail. If you send or reply to email from Careific, we send that message through your Gmail account on your behalf.
• Google Calendar — events on the calendars you choose, so that they appear on the Careific calendar. If you create or edit an event in Careific, we write that change to your Google Calendar.

How we use it

We use Google user data only to provide and improve the user-facing features of Careific that you can see and control, including:

• Showing your email and calendar inside Careific.
• Linking messages and events to the residents, staff, and tasks you choose.
• Offering in-app suggestions, such as a prompt to follow up on a message or a suggested link to a resident record. You decide whether to act on any suggestion.

We do not use Google user data for advertising, marketing, or promotional messages, for analytics profiling, or to contact you about Careific. We do not sell Google user data, and we do not use it to determine creditworthiness or for lending.

AI processing

Some in-app suggestions are generated by AI models. These models process your Google user data only to produce results for you inside Careific. We do not use Google user data to develop, improve, or train generalized or non-personalized AI or machine-learning models. The AI providers we use to deliver these features are contractually prohibited from using this data to train their models.

How we share it

We transfer Google user data only:

• To service providers that host and process it on our behalf so the features above can work, such as our cloud hosting and AI processing providers. They may use it only to provide those services to us.
• When you direct us to, for example when you send an email from Careific.
• When required to comply with applicable law or to protect against fraud, abuse, or security threats.
• As part of a merger, acquisition, or sale of assets, with notice to you, where the data remains subject to this section.

Careific personnel do not read your Google user data unless you give us permission for specific messages (for example, when you ask for support), it is necessary for security purposes such as investigating abuse, it is necessary to comply with applicable law, or the data has been aggregated and anonymized for internal operations.

Storage, security, and deletion

Google user data is encrypted in transit and at rest. We keep it only while your Google account is connected to Careific. You can disconnect at any time from Careific's settings, or revoke access from your Google Account at myaccount.google.com/permissions. When you disconnect or revoke access, we stop syncing immediately and delete the Google user data we have stored within 30 days, unless the law requires us to keep it longer. You can also ask us to delete it sooner by emailing support@careific.com.

5. Cookies and analytics

We use cookies and similar technologies to keep the site working, remember preferences, and understand how the site is used. You can control cookies through your browser settings; disabling some cookies may affect site functionality. Google user data is never used for analytics.

6. SMS / text messaging program

If you opt in through the Careific Employee Portal, Careific sends recurring operational text messages to the mobile number you provide. These messages relate to care-facility operations — including shift reminders and handoffs, medication-round alerts, task assignments, compliance reminders, and incident notifications. We do not send marketing or promotional text messages.

• Consent — you must affirmatively opt in by enrolling; consent is not a condition of employment or of any purchase.
• Message frequency — varies based on your role and facility activity.
• Cost — message and data rates may apply, depending on your mobile carrier and plan.
• Opt-out — reply STOP to any message to unsubscribe at any time.
• Help — reply HELP for assistance, or contact support@careific.com.
• Carriers are not liable for delayed or undelivered messages.

7. Data retention and security

We retain personal information for as long as needed to provide the Services and for legitimate business or legal purposes, then delete or de-identify it. Google user data follows the retention and deletion rules in Section 4. We use reasonable administrative, technical, and physical safeguards designed to protect personal information; no method of transmission or storage is completely secure.

8. Your choices and rights

You may opt out of text messages at any time (reply STOP) and unsubscribe from emails using the link in those messages. You may disconnect a Google account from Careific at any time, as described in Section 4. Depending on where you live, you may have rights to access, correct, or delete your personal information, or to opt out of certain processing. California residents have rights under the California Consumer Privacy Act (CCPA/CPRA). To exercise any right, contact us at support@careific.com.

9. Children's privacy

The Services are intended for use by adults in a professional capacity and are not directed to children under 18. We do not knowingly collect personal information from children.

10. Changes to this Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised date. If we change how we use Google user data, we will ask for your consent again before the change applies to you. Continued use of the Services after other changes take effect constitutes acceptance.
